How we handle your information

Counselling training asks people to be open. This page sets out plainly what we collect, why we hold it, who sees it and how to ask us to change or delete it.

Who we are

Coleshill Trainee Counsellor Centre (CTCC) is a UK education and training provider and a CPCAB approved centre, based at 152–156 High St, Coleshill, Birmingham B46 3BG. We are the data controller for the information described on this page, which covers our students, staff and website visitors.

What we collect

If you enquire

Your name, email address, phone number if you give one, the course you asked about and anything you write in your message.

If you apply or enrol

Contact and address details, date of birth, prior qualifications, emergency contact, fee and payment records, attendance, coursework and tutor assessment notes.

Sensitive information

Only where you choose to share it or where we need it to support you safely, for example a health condition, learning need or reasonable adjustment. We ask for no more than we need and it is only shared between tutors to ensure we can support you.

When you use this website

Technical data such as your IP address, browser type and device information, collected by our hosting provider as part of running and securing the site.

Why we hold it

To answer your enquiry, run the course you are on, register you with CPCAB, record your progress, feedback and achievement, issue certificates, process enrolments and payments, improve the website and how we teach, and meet our legal and awarding-body obligations.

Our lawful bases under UK GDPR are performance of a contract (your training agreement), legitimate interests (replying to enquiries and running the centre), legal obligation (financial and safeguarding records) and, for sensitive information, your explicit consent.

We do not sell your data, and we will not add you to a marketing.

Who else sees it

We never sell or rent your personal data. We share it with CPCAB, as our accrediting body, for registration, moderation and certification; with external verifiers who sample coursework as part of quality assurance; and with placement providers and supervisors at Level 4 and above, with your knowledge.

Payment processors handle course fees, and our email, form, hosting and accounting providers process data on our behalf under contract. We also disclose information to government authorities where the law requires it, or where there is a serious risk of harm to you or someone else - the same limits your tutors work to in the room.

How long we keep it

Enquiries that don't lead to an application are deleted within twelve months. Student records are kept for the duration of your course and for seven years afterwards, so we can confirm your qualification and meet financial record-keeping requirements.

Paper records are held in a locked cabinet. Digital records are held in password-protected accounts accessible only to tutors and administrators who need them. We take appropriate technical and organisational measures to protect your data from unauthorised access, loss or misuse, though no transmission over the internet can be guaranteed completely secure.

Your rights

Your data is held in accordance with the UK GDPR and the Data Protection Act 2018. You can ask to see the information we hold on you, correct anything that's wrong, ask us to delete it where we have no ongoing obligation to keep it, restrict or object to how we use it, or withdraw consent you previously gave.

Email contact@traineecounsellor.co.uk and we will respond within one month. There is no charge.

If you have questions about this policy or the way CTCC handles your personal information, or you wish to make a complaint, please tell us first so we can put it right — our complaints procedure sets out how we'll handle it. If our response doesn't resolve matters, you can raise your concern with the Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, or at ico.org.uk.

Cookies and this website

This site uses no advertising cookies. Cookies we do use are there to make the site work and to understand how it's used; you can manage or block them through your browser settings. Our enquiry form is handled by a third-party form service that passes your message to our inbox and keeps a copy as a backup.

Changes to this policy

We reserve the right to amend this privacy policy at any time, with or without notice. If it changes, we will not use personal information you have already given us in a way that is materially inconsistent with this policy without your prior consent.

We'll update the date at the top of this page whenever we revise it, and tell current students directly if a change affects them. We are committed to running the centre in line with these principles, so that the confidentiality of personal information is protected and maintained.

All the materials on this site are provided "as is", without any express or implied warranty of any kind, including warranties of merchantability, non-infringement of intellectual property or fitness for any particular purpose.

In no event shall CTCC, or its agents or associates, be liable for any damages whatsoever — including, without limitation, damages for loss of profits, business interruption, loss of information, injury or death — arising out of the use of, or inability to use, the materials on this site, even if CTCC has been advised of the possibility of such loss or damage.
